Enable Administrator Configuration of "Get Link" Document Behaviour

When using Get Link on a document in ProjectWise Infrastructure Cloud, the generated link opens the document directly in the online PDF Viewer by default.

For native file types, the system converts the file to PDF and opens it in the online markup tool, rather than navigating the user to the document’s location in the folder structure.

This behaviour is somewhat new and removes user choice and bypasses standard document management workflows.

There is currently no tenant-level or project-level configuration to control this and it is encouraging the below behaviours:

  • Opening a converted PDF in the web markup tool creates the perception that the document is being reviewed or commented on, when users are not interacting with the controlled native file.

  • Markups are then created on system-generated PDFs rather than on issued or controlled documents or co-author sessions.

  • Removes the ability for our users to choose whether to download, view, or join a co-author session

  • Users are not prompted to join co-authoring sessions and the editing of Native documents are bypassed.

Example 1: we circulate native documents intended for collaborative editing in a co-author session via a shared Get Link.

Instead of navigating to the file and joining the co-authoring session, users are forced into a converted online PDF markup, preventing them from having the option to join the co-author session, and also confusing them that they are conducting a review on a PDF. Our only work around is to provide a link to the folder and the user has to scroll through documents to locate the co-author session.

Example 2: we circulate a native document for information via a shared Get Link.

Instead of navigating to the file and allowing users to download the file in its Native format, users are again forced into a converted online PDF, confusing them that they have been provided with a PDF format only that is often unreadable (large excel registers etc)

This never used to be the case and is now causing many issues.

Requested Enhancement

Provide a configurable option (tenant-level and/or project-level) to control the default behaviour of Get Link, such as:

  • Option A: Navigate to document location (default)

  • Option B: Open document in web viewer

  • Option C: Prompt user to choose action

This setting should be administrator-controlled and applicable across projects to support enterprise governance requirements.
