The email notification issued for transmittals currently only displays the amount of documents or attachments and does not list the attachments individually. Would like the ability to list the documents/attachments into the email notification of transmittals received via Outlook.
Practical use of functionality?
Listing the attachments included in the email notification of transmittals, enables a recipient to search outlook for a document number or name where the functionality is not available from the Deliverables Management Web View |
|
What is the impact of not doing this?
Currently unable to search for document numbers or names from the DM web itself means users are unable to directly locate a document or drawing without knowing the transmittal number it was issued on. Incoming transmittals are not automatically recorded in the DM tab for documents in PWE making it difficult to track incoming information. PW 365 Web also does not display any associated transmittals against the documents themselves, making it impossible for users to locate the package a document was issued on or received on without having to either export the entire DM register or manually recording the incoming and outgoing transmittals as an attribute of the document. |
The {Document links} variable only adds links where the attachments are added from PW Explorer or PW365 Documents Library.
If you add the attachments from PW Explorer, the links won't work for individuals who do not have PWE installed.
If you attach documents to a PW365 transmittal from a local drive (like many of our external users), then the links don't appear at all.
I'm looking for a function to list the attachment file names only, not necessarily provide links.
I would suggest the document links actually deter users from going in and acknowledging the transmittal if they are able to access the document direct from the email rather than downloading the transmittal package.
Have you tried adding {Document links} variable to Deliverables Management notification in Settings page?
Also you can view packages related to a document in ProjectWise Explorer preview pane. Select a document and click on "Deliverables Management" tab. You will see all packages where selected document was added to. https://docs.bentley.com/LiveContent/web/ProjectWise%20Deliverables%20Management%20Portal%20Help-v8/en/GUID-F2D45F8B-3ECC-46AF-BE0F-EA5748A83D95.html
