The current Deliverables Management Default Setting in 365 has externals users set to Deliverables Management "View only" permissions after accepting an invite.
This means only the first person accepting a project invitation is able to receive transmittals, General Correspondence and RFI's, with the rest of the organisation members disappearing from the address book unless the administrator (first person to accept the invite) assigns permissions.
The default Deliverables Management permissions for "TEAM MEMBERS" should be amended to VIEW and RECEIVE, as it used to be in Projectwise Web.
Practical use of functionality?
Default Deliverables Management permission for Team Members should be on "Receive" as a minimum. This will enable all externals users (who are often only added for Deliverables Management Purposes) can continue to receive DM packages without waiting for an administrator to amend their permissions. |

What is the impact of not doing this?
We are already having SERIOUS delays and backlash on projects due to external users accepting invites and then disappearing from the address book for future DM submissions. We are left with 2 workarounds:
The problem with option 1 is that many external organisations are small companies that do not hold a registered license with Bentley Projectwise. We receive many complaints from the Organisations having no time to manage permissions just for users to receive transmittals. Sometimes we get no response at all, leaving us unable to send packages to recipients. With option 2, reinviting users adds a huge amount of time to get packages out and also annoys the recipients that they keep receiving invitations they have previously accepted. Projectwise Web used to assign both the DM VIEW and RECIEVE permissions by default upon acceptance for an external user. Other systems such as Aconex do not turn off a users ability to receive Mail by default . Only send permissions for contractual submissions are controlled. The default DM permissions for "TEAM MEMBERS" should be amended to Receive permissions to avoid these huge problems we are experiencing. |
