Currently, internal reviews(using WFs) and external reviews (using PWDM) are 2 separate processes. There is no single master status on the document that reflects the live status in the project lifecycle. External communication stages shall also have status reflected in the parent document.

Now it takes effort to connect these two services and reporting is also not a straight straightforward process. This makes the tool not so popular with the PM and Controls department, and there are solutions that do this better on the market. |

We use this, however we have documents that are part of multiple transmittals, being reviewed by different groups of reviewers.
The field keep only keep the last status received. If we could have a way to keep the history.
To add to below, the dates across these statutes (internal and external) a document version goes through are equally important from a reporting point of view for the planning and project controls team. This is the main information project management needs out of an EDMS, which can help them calculate a trustable engineering progress value figure.

Two gaps with the existing approach:
The status field from DM is limited to submittals. The outgoing doc status is missing.
It is a separate status field as such. Quite different from PW's internal workflow status.
From a project controls perspective: At any point, the user needs to know the current status. Internal / External reviews do not matter, it is one closed loop for users and one long list of statuses for tracking. The Project Control manager needs to know if the document finished internal WIP (3-step WF) and as of now has been sent to an external party, or is it acknowledged or responded to? if yes, then the corresponding doc status etc. in a single attribute / live report/search results page.
