Automate Acknowledgment Upon Transmittal Opening and Mandatory Response Synchronization

Currently, the acknowledgment (“Acknowledge”) requires an additional click after opening a transmittal. I suggest that the acknowledgment be sent automatically upon opening the transmittal, eliminating the need for this extra step. This would streamline the workflow, reducing unnecessary clicks and ensuring that the acknowledgment process is seamless.

Additionally, when a “Mandatory Response” is selected, it would be highly beneficial if the acknowledgment (“Acknowledge”) was also automatically marked as mandatory. This would prevent users from forgetting to acknowledge the receipt of the transmittal, especially when a response is expected, ensuring that both acknowledgment and response requirements are met consistently.

Practical use of functionality?

Benefits of this enhancement:

1. Improved Efficiency: Automatically sending the acknowledgment upon transmittal opening reduces the time spent on extra actions, enhancing productivity for users.

2. Consistency in Compliance: By making acknowledgment mandatory when a response is required, this ensures compliance with project management protocols.

3. Streamlined Workflow: This reduces the potential for human error by automating tasks that are currently manual, ensuring smoother operations.

What is the impact of not doing this?

The impact of not having this enhancement in ProjectWise Deliverables Management can be significant, particularly in terms of user efficiency, compliance, and project management. Here are the key impacts:

1. Increased Manual Effort:

• Users have to perform additional clicks to acknowledge a transmittal after opening it, which can become repetitive and time-consuming, especially in projects with frequent transmittals. This additional step can slow down the workflow and reduce overall productivity.

2. Risk of Missed Acknowledgments:

• Without automatic acknowledgment, there is a greater chance that users might forget or neglect to acknowledge the receipt of a transmittal. This can lead to miscommunication and a lack of proper tracking of transmittals, which is critical for project auditing and accountability.

3. Inconsistent Responses:

• If the acknowledgment is not tied to the “Mandatory Response” setting, there can be inconsistencies where users are required to respond but may not formally acknowledge the receipt of the transmittal. This can create confusion about whether the deliverables were properly received and whether a response is expected, leading to delays and potential errors in project deliverables.

4. Lower Compliance and Accountability:

• Projects that rely on strict compliance and traceability could face issues in maintaining proper records of transmittal receipts and responses. Not making acknowledgment mandatory in cases where a response is required could affect the integrity of the project’s communication and documentation protocols.

5. Potential for Delays:

• If the acknowledgment is not sent automatically, this could introduce delays in the transmittal process, as team members might not immediately realize they need to manually acknowledge a transmittal. This can extend the time it takes for important deliverables to be formally received and acted upon, possibly delaying the entire project timeline.

It was always mandatory to have a recipient acknowledge the package if they were also expected to respond. It is not possible to send a package to user A asking them to respond but not acknowledge. Also when the user receives the package they can't respond without acknowledging first.
