View document import status and add 'Import documents' button to "Incoming" view

The problem:

  • With the current UI, a user must open a Transmittal and navigate to the Documents tab to see if the documents have been imported. They then must click the 'Import' button. For a Document Controller on a project this is borderline unusable. If there are 500+ transmittals on a project, how is a document controller supposed to know what has and hasn't been imported? Are they supposed to open every transmittal one by one and check? This is an enormous waste of time and money.

  • With this issue, I cannot recommend using ProjectWise within our organisation on any projects larger than a road upgrade. This excludes ProjectWise from all of our multibillion dollar major projects.

My Suggestion:

  • I propose adding a column called "Documents Imported". Within this column it will say "yes, with a link to the location" or "No, with an 'Import now" button.

  • Additional feature would be an "Import all" button that would import documents from all transmittal's that haven't yet been imported.

With this setup, a document controller can simply scroll through the list of Transmittals and see what needs importing.

What is the impact of not doing this?

Failure to implement this feature results in substantial inefficiencies:

  1. Time Wasted – Document controllers must manually open each transmittal to check import status, which is impractical for large projects with hundreds of transmittals.

  2. Increased Labor Costs – More hours are spent on administrative tasks instead of high-value activities, leading to unnecessary project overhead.

  3. Higher Risk of Errors – Without a clear overview, users may overlook transmittals that require importing, leading to potential project delays or compliance issues.

  4. User Frustration – The current workflow is not scalable, making it frustrating for professionals handling large volumes of documents.

Implementing this feature would provide a more intuitive, user-friendly, and cost-effective document management process in Bentley ProjectWise.
