Adding or Removing Reviewers in already issued Transmittal

We should be able to add or remove reviewers in an issue transmittal in PW Explorer or PW WEb environment. Currently, we need to recall a transmittal and issue a new one to make these changes and add new reviewers.

Practical use of functionality?

Allowing the addition or removal of reviewers in an issued transmittal would significantly enhance flexibility and efficiency in the review process. This functionality would enable administrators to adapt to changes in project requirements or team composition without disrupting the workflow.

Example Scenario: Imagine a scenario where a project is underway, and a transmittal has been issued to ten reviewers. Midway through the review process, a new subject matter expert (SME) joins the team, and their input becomes crucial for the deliverable. Currently, to include this new SME, the transmittal must be recalled, and a new one issued, causing delays and additional administrative work.

With the proposed functionality, the administrator could simply add the new SME to the existing transmittal, ensuring their review is included without disrupting the ongoing process. Similarly, if a reviewer is no longer available or relevant to the review, they could be removed without needing to recall the transmittal.

This enhancement would streamline the review process, reduce administrative overhead, and improve the overall efficiency and responsiveness of the project management workflow.

What is the impact of not doing this?

Time

  • Delays in Review Process: Recalling and reissuing transmittals to make changes can cause significant delays, extending the overall review period.

  • Manual Adjustments: Administrators spend extra time managing the recall and reissue process, which could be better spent on other critical tasks.

Quality

  • Incomplete Feedback: Important feedback from new team members might be missed if they cannot be added to an ongoing review, potentially compromising the quality of the deliverable.

  • Inconsistent Reviews: Frequent changes and reissues can lead to inconsistencies in the review process, affecting the final product's quality.

Overheads

  • Increased Administrative Workload: The need to manually recall and reissue transmittals increases the administrative burden, leading to higher operational costs.

  • Resource Allocation: More resources are required to manage the process, diverting them from other essential project activities.

Flexibility and Adaptability

  • Inability to Respond to Changes: The lack of flexibility to add or remove reviewers as project needs evolve can hinder the ability to adapt to new requirements or team changes.

  • Missed Opportunities: Opportunities to incorporate valuable input from new reviewers are missed, potentially affecting the project's success.

Stakeholder Satisfaction

  • Reviewer Frustration: Reviewers may become frustrated with the need to review multiple transmittals for the same deliverable due to administrative changes.

  • Communication Issues: Frequent changes can lead to communication gaps and misunderstandings among stakeholders, affecting overall project coordination.

Project Management

  • Coordination Challenges: Difficulty in coordinating and ensuring all stakeholders are aligned can impact project management efficiency.

  • Accountability: Harder to maintain accountability and track who has completed their reviews, leading to potential bottlenecks.

Implementing the ability to add or remove reviewers in an issued transmittal would mitigate these impacts, leading to a more efficient, flexible, and high-quality review process.
